How to set email gating with a Contact List

Email gating can check respondents against a contact list you already keep in BlockSurvey, so you don't have to upload a CSV file. When someone answers, BlockSurvey looks up their email in the list and allows or blocks them based on what it finds.

You can use it on Email, Contact Form, Google and Outlook questions, and in Welcome screen gating for Email, Google and Outlook. Email gating is available on Team and Enterprise plans.

Follow the steps below to set it up.

  1. Add an Email question to your questionnaire. A Contact Form, Google or Outlook question works too.

  2. Under the Email Gating tab, click Add Gating.

  3. Choose Gate by
    a) Allowlist: only respondents who match the contact list can continue.
    b) Blocklist: respondents who match the contact list are blocked.

  4. Under Select List Type, choose Contact List.

  5. Under Select Contact List, pick one of your team's contact lists. The lists can take a moment to load.

  6. Under Select Column, pick the column to check. This dropdown appears once you have picked a list.

    BlockSurvey finds the respondent's contact through the list's Email column, then checks that the column you selected holds the same email address. Upper and lower case don't matter. If you select the Email column itself, a match just means the respondent's email is in the list.

  7. Edit the Error message if you like. Respondents see it when gating stops them. The default is "You are not on the list." for an allowlist and "Your email address is not allowed." for a blocklist.

  8. Publish your survey and test it with one email that is in the list and one that isn't.

Good to know

The check runs against your contact list every time someone answers, so contacts you add or edit later are picked up straight away.

You can click Add condition to combine the contact list with other rules, such as an uploaded Email List, using And or Or.

If the selected contact list is deleted, the builder shows a warning. Pick another list, because respondents will be blocked until you do.
