How to Create and Manage Custom Roles and Permissions

BlockSurvey comes with five system roles: Owner, Admin, Member, Contributor and Guest. When none of them fits, you can create a custom role and choose exactly what people with that role can do, such as viewing responses without deleting them or running campaigns without changing team settings.

Custom roles are available on the Team and Enterprise plans. Organization owners and admins can create roles for the whole organization. Teamspace owners and admins can create roles for their own teamspace.

Option 1: Create a Role for Your Organization

An organization role can be used in every teamspace of your organization.

  1. Open Global Settings and go to Members under Organization Settings.

  2. In the invite form, open the Role dropdown.

  3. Click Create Custom Role.

  4. Set up the role as described in Choose the permissions below.

Option 2: Create a Role for a Teamspace

A teamspace role can only be used inside that teamspace.

  1. Go to Settings in your Team Space and open Team Members.

  2. Click Roles & permissions.

  3. Click Create role, or click + next to Custom in the left panel.

  4. If you manage both the organization and the teamspace, choose where the role is available under Available in: Organization or This team.

Choose the Permissions

  1. Enter a Name of the role (up to 40 characters) and an optional Description of the role (up to 200 characters).

  2. Use Start from to copy the permissions of Admin, Member, Contributor or Guest, or keep Blank to start from nothing.

  3. Turn permissions on or off. They are grouped into sections such as Dashboard, Responses, Analytics, Audience List, Campaign and AI Controls. Use the switch next to a section to turn the whole section on or off, or Search permissions to find one quickly.

  4. Click Create role.

Some permissions depend on others. For example, Edit Surveys needs View Builder. When you turn on a permission, BlockSurvey also turns on the permissions it needs, and when you turn one off, it also turns off the permissions that depend on it. A note under the section lists what changed and which section it belongs to.

A few permissions, like deleting a teamspace or configuring payment gateways, stay with owners only. They are shown locked in the editor and cannot be added to a custom role.

Assign a Custom Role

  1. To invite someone new, pick the custom role from the Role dropdown in the invite form and click Send Invite.

  2. To change an existing member's role, open the Role dropdown next to their name in the Team members list and pick the custom role.

Custom roles cannot be given to owners or to the teamspace creator.

Edit or Delete a Custom Role

  1. Open Roles & permissions and select the role under Custom in the left panel. You can also click the pencil icon next to the role in the Role dropdown.

  2. Change the name, description or permissions, then click Save changes. Everyone with the role gets the new permissions.

  3. To remove the role, click Delete Role. If members still have the role, choose a replacement role first. BlockSurvey moves those members, and anyone with a pending invite, to the replacement.

Good to Know

  • Role names must be unique. A teamspace role cannot reuse the name of an organization role.

  • AI permissions in a custom role take priority over AI Controls. If a role allows an AI feature, people with that role can use it even when the feature is turned off for the organization.

  • Menus and buttons for features a role does not include are hidden for people with that role.
